Secure Collaboration with Microsoft Teams

The safety of our customers has always been paramount. Our RND team continuously researches and tests tools that provide high availability, privacy, and simplicity. One of them is Microsoft Teams, which we have been using since the very beginning.

MS Teams can help your organization raise security to a higher level.

Important Security and Privacy Features in MS Teams

Meeting Options

You decide who can join your meeting and who should wait in the lobby. As a meeting organizer, you can define presenters and attendees, control who can to present content, and remove participants during the meeting if needed.

Recording Access

Only meeting attendees and those who were invited to the meeting have access to the recording of the meeting. Recordings are located on the Microsoft Stream service and can be downloaded or shared according to specified permissions.

External Access

This feature enables Teams users from other organizations to join and work within specific teams and channels. It’s an essential feature when people from multiple organizations need to collaborate with each other.

Multi-Factor Authentication

A password alone is not sufficient for account protection anymore. To protect organizational accounts from attacks, there must be an additional form of identity verification. 3 PRO recommends the Microsoft MFA mobile application, which integrates fully with Microsoft’s Cloud services.

Advanced Threat Protection

Safeguards users from malicious content. When ATP identifies harmful content, it automatically locks it, so that users are unable able to open it or share it with other people.

Encryption

Audio/video traffic and chat messages are encrypted by SRTP – the Secure Real-Time Transport Protocol.

There are also many other features like Data Loss Prevention, Channel moderation, Communication compliance, Conditional access, etc. As each organization is specific, we recommend performing an analysis and providing consultations so that we can tailor the services to fit your organization’s needs.

Teams and Skype interoperability capabilities

Teams and Skype users can now communicate with each other through chats and calls, whether they use clients on the desktop, web, or mobile phone (Android and iOS).

It is recommended to have Skype 8.58, or a later version.

How To Start A Call?

Teams users can search for Skype users by typing their email in the search bar. Note that some Skype users choose not to appear in the search results.

Skype users also have to search for Teams users by email address. After that, the Teams user will get a notification that they need to accept before they can reply. If the Teams user accepts the conversation, both users can start to chat and call each other. But, if the Teams users selects the block option, all messages from that Skype user will be blocked.

Limitations

  • @mentions, emojis and other types of rich formatting are not available
  • There are no group chats; one-on-one only
  • Users can not see each other’s presence
  • Searching for Skype users by their ID or phone number is not supported

External Access Configuration

For new tenants, external access for this capability is turned on by default. For older tenants: if you’re unable to use this capability, 3 PRO can set the necessary parameters for you, that allow Teams users to communicate with Skype users. Contact us today!

Microsoft Teams – Virtual Collaboration

The way we work has changed significantly in the last couple of months. The current situation in the world forced us to adopt to working from home. For a better experience, Microsoft developed a couple of new features for the Teams app: together mode, dynamic view, video filters, live reactions, and many more.

Online meetings are the new normal.

Dynamic View

Dynamic view provides a large gallery overview, through which the user can see up to 49 people simultaneously, and virtual breakout rooms which enable the splitting of meeting participants into smaller groups.

These features will be available in a month.

Together Mode

Something new, something different – thanks to AI, together mode places participants in a shared background, so you can feel more like you’re sitting in the same room with your colleagues. If you are working remotely, and your team needs to brainstorm a lot, this feature is appropriate. It will be generally available next month.

Video Filters

A great thing if you need to adjust light levels, or you want to blur your messy home office background.

Live Reactions

Reactions become a part of our lives in the world of social networks. They give us the freedom to show our emotions and attitude on others’ opinions and statements. In the Teams app, live reactions are designed to provide instant feedback to the presenter during the meeting:

Remote Learning with Microsoft Teams

The current situation in the world has forced schools and faculties to teach online. We would say that the easiest way to keep communication between students and teachers/professors is via the Teams app.

Collaboration and Communication within the Teams app

With Teams, you can easily create teams for classes or groups for educators. The app provides real-time one-on-one conversations and chats with up to 100 people, file collaboration, online classes (live sessions) with recording capabilities, virtual whiteboard, screen sharing, for presentation, etc. Everything you need for a successful online lecture.

Students, teachers, and staff can seamlessly work together, create content, and share resources all from a single, easy-to-learn and simple to use platform.

Enhance Student Creativity

  1. Inspire them to brainstorm with their colleagues in the OneNote app; for example, they can work on their essays together.
  2. Encourage them to put feedback on other’s homework by commenting on Word Online files.
  3. Show them Sway and how they can express themselves.

Microsoft Teams – New Features

At the Ignite conference, Microsoft announced a bunch of new features inside the Teams application. We picked a few interesting ones to highlight.

Private Channels

A private channel is the perfect feature for those who need to work on a specific project. A group of people that are part of a team can collaborate in a focused space without spamming others, and without having to create a completely separate Team. It’s designated with a lock icon; only members of private channels can see it and participate in conversations.

Multiwindow

This feature allows users to pop out chats, meetings, calls, and documents into separate windows. It will available from the beginning of 2020.

Pinned channels

Later this year, all Teams users will be able to pin important channels to the top of their team lists.

Pinned applications

Also, It will be possible to pin frequently used apps to the left main rail.

Whiteboard

The whiteboard app is now generally available in Teams meetings. It does not matter if your colleagues are in the same room or working remotely – you can brainstorm together on the same virtual canvas.

Safe links

Office 365 Advanced Threat Protection safeguards Teams messages from harmful links. When somebody shares a URL in a private chat or channel conversations, Teams will scan the web address and alert users if there is a threat.
